Reports
OUCCAS is happy to offer support to colleges and departments through a few different reports. E-mail courses-curricula@ncsu.edu to request these reports.
Stalled reports:
Run twice a semester (once at the beginning and once mid-semester). This report pulls all courses and program actions that have been sitting at a step in the workflow for any amount of time (days at step) and their overall lifespan in the workflow (days in workflow). There isn’t a direct impact of actions remaining on this list — it just means that they’re paused until the person or people at that step approve it forward. This report can help you identify roles that need to be changed, or to take the temperature of the running of your curricular process.
How to Read/Use the Report
- Code: The program or course prefix and number for the action
- Title: The descriptive title for the program or course with the action
- Next Sign-Off: The step at which the action is currently sitting (as of the time of the report pull).
- If you are the owner of this step, go to the Approver Page and select the named step from the dropdown list where your name will, by default, appear.
- If you want to see who is the owner of the step, click on the link in the sheet, hover over the yellow/orange/gold name in the workflow on the right hand side and look to the lower left corner of your screen to see the e-mail associated with the role.
- Some common roles:
- UCCC/CUE Coordinator/Meeting are steps owned by OUCCAS. I have included notes where actions are at our steps about their current status.
- Peoplesoft and CAT Implementation are implementation steps for our catalog/scheduling colleagues in R&R
- Peoplesoft/Catalog, Degree Audit UG, and Planner Template UG are implementation steps for programs for our curriculum/degree audit colleagues in R&R
- Received: When the action was received at the listed step
- Status: The general type of action (Drop, Add/New, Edit)
- Days at Step: How many days that the action has been at the listed step
- Days in Workflow: How long the action has been in workflow (total, including any rollbacks)
In order for those approvers to access the step, they’ll need to go the approver page and select from the dropdown (that by default shows their name) the name of the step under the “Next Sign Off” column.
Stale report:
Run by request. This report pulls all courses and program actions that have been sitting idle at the first step in workflow. Like the stalled report, there isn’t a direct impact of being on this list, but it can specifically show actions that haven’t gotten off the ground and may indicate that the action should be shredded (returned to its last approved status and taken out of the workflow).
Owner/Workflow Report:
Run by request. This report pulls all roles in CIM and shows you who is under what role. This report may be beneficial if the office has experienced some turnover or if you notice a number of stalled/stale proposals and want to identify the possible bottleneck(s).
