Serving on a Standing Committee

Members for both the Council on Undergraduate Education (CUE) and the University Courses & Curricula Committee (UCCC) are appointed by the chancellor at the beginning of each academic year. These committees are an integral part of the course approval process.

Proxies

As such, proxies play an important role in these committees. Both UCCC and CUE must regularly meet quorum, review course and curricular work, and discuss items that can affect each college on campus, so college representation is key. When a member cannot be present at a meeting, they send a voting proxy to present actions, bring review notes, and to vote and discuss actions at the meeting in their stead.

Because the proxy is a voting proxy, the member stepping in as proxy must meet guidelines set by the Committee on Committees for voting members of these committees:

  • have a faculty appointment,
  • be eligible to vote on the faculty senate,
  • hold a position no higher than department head (no members from the Deans’ offices are eligible to serve as proxies, though they are always welcome to join as guests).

Members who will be absent are responsible for finding their own proxy.

Absence Process Information

Context: Representation of colleges, students, and faculty senate is extremely important on both CUE and UCCC as actions passed and concepts or motions discussed as a part of this iteration of faculty governance can affect all colleges, departments, and student demographics. When a member isn’t present and/or does not send a proxy or notes on review, their group isn’t represented, actions cannot be effectively brought forward by their college, and the work of the committee is unfairly distributed to members who are present.

To help maintain a body of active members, the following process will go into effect immediately for members who have not attended (consecutive) meetings as outlined below and who have also not sent proxies OR not sent notes/reviewer comments.

  • Meeting 1: In the event of a member alerting OUCC to their planned absence, members will receive the following e-mail from OUCC requesting information about their proxy, a link to the definition of proxy, and instructions regarding submission of reviewer comments.  
  • Meeting 2: After the second consecutive meeting in which a member has not attended and not sent a proxy or reviewer comments, the Chair will reach out via e-mail to the member to relay the importance of their attendance, reminders about proxy, etc.
    • If no response is received after one week, the Chair will reply to that e-mail string and cc the Student Body President, Chair of Faculty Senate, or Associate Dean.
  • Meeting 3: If by the third consecutive meeting the person hasn’t sent a proxy and hasn’t attended, the Chair will send an e-mail to the member with cc to the President, AD, Chair (appropriate authority) and Amy Jinnette from the Provost’s Office relaying that the process for replacing a member on the committee has been initiated with the Committee on Committees.
