2024-2025 Projects

OUCCAS staff engaged in projects including:

  • The Business Requirements phase began in the Summer of 2024 for the CIM for Courses Refresh and the CourseLeaf 10 operating system update. This has involved continued close collaboration among the core team of OUCCAS, the Graduate School, and Registration and Records (with additional support and assistance from OIP, EMAS, and EAS) to carefully consider campus feedback obtained prior to kickoff, patterns evident in course actions, and availability of new system tools to improve process and clarity of forms and workflow. Currently in the User Acceptance Testing Period, the Director has led the implementation effort, and OUCCAS has conducted extensive testing alongside its partners. The Director has also been pulling in volunteers for additional perspectives and feedback as the form continues to be updated. In total, this reflects over 200 hours of work over the past year, with the go-live date planned for after the 2025-2026 CAT publication in mid-June 2025.
  • Given questions and the prevalence of GEP changes in recent years, the Director worked with materials provided by history, Registration and Records, and Office of Instructional Programs to develop a draft of a standard operating procedure that covers the purpose and history of the GEP, groups and policies that affect General Education at NC State, and the process for updating the GEP through to implementation with specific directions. Work on finalizing this document will proceed in the Summer of 2025. When complete, the final document will be a guide for everyone involved in the changes, and a summary document will also be developed and made publicly available for those interested in proposing changes to the GEP.
  • CUE discussed and applied changes to the General Education Program per UNC System requirements – implementing the GEP Foundations of American Democracy co-requisite and the GEP Elective Requisite. Further GEP category review will occur in AY 2025-2026.
  • The Director led a subgroup within the implementation team to review and provide suggestions and feedback for all other groups within the team regarding proposed updates to academic regulations to support student mental health.
  • Per recommendations from the 2023 External Program Review and from the campus, the University Program Associate developed a comprehensive suite of twelve (12) checklists/worksheets detailing action review items for UCCC and CUE members, which are also available to the campus community. This aimed to streamline processes for both internal OUCCAS administrative use and external faculty engagement with committee actions by enhancing efficiency, ensuring consistency, and providing clear guidance for critical academic committee workflows. This project supports Goal 2 with its focus on collaboration and operational clarity, and excellence.
  • Led by the Curriculum & Training Specialist, OUCCAS staff spent about 40 hours in total over the academic year engaging in a comprehensive inventory and review of training developed by the Office for the campus. The results of this project were two-fold: (1) to create an inventory with basic information and links and dates to support a regular audit and update to training materials and avoid duplication and (2) to review the materials for content that will need to be updated over Summer 2025, especially given the update to the CourseLeaf system (See CIM for Courses Refresh). This project also included Website Updates and Checklist Resources. This project supports Goal 2 with its focus on excellence in procedures and information, and also for setting the documentation of a baseline to support future innovation.
  • Continued weekly office hours with Lexi – open to all via Zoom to discuss CIM, curriculum or course development, the approval process, etc. Usage of these more than doubled in the 24-25 AY. Also offered in-person lab time for co-working as well as multiple topics in synchronous online training.
  • Implemented recommendations from Spring 2024 Website Usability Project – including creating new landing pages for site pages as well as FAQs.
